Introduction
These terms and conditions clarify the protocols for booking services with TRAVELCULTZ, outlining your entitlements and responsibilities. Please read this document carefully and seek clarifications or independent legal advice if required.
By confirming a booking with TRAVELCULTZ, you confirm your acceptance of these Terms & Conditions. Payment of a deposit or full payment indicates your agreement to these terms on behalf of all individuals included in your booking.
“Service” or “Services” refers to travel planning, consultation, domestic and regional flights, cruises, charters, river boats, yachts, ground transportation, concierge services, hotels, resorts, camps, alternative lodging, tours, transfers, leisure/adventure activities, expeditions, and other travel-related products offered or retailed by TRAVELCULTZ.
Eligibility for booking
Clients must be at least 18 years of age to use TRAVELCULTZ's services. Individuals under 18 must be accompanied by a parent or legal guardian.
Pricing and payment
Prices in your Trip Proposal are indicative and do not constitute a confirmed booking. Quotations are based on suggested hotels/room categories and are subject to change due to availability or tariff changes at booking time.
Unless explicitly stated in your Trip Proposal, the following are not included:
- Personal expenses (incidentals, laundry)
- Excess baggage charges
- Passport or visa procurement costs
- Single room supplement charges
- Travel insurance (health, accident, lost baggage, trip cancellation)
- Gratuities and tips
- Transaction fees (bank or credit card charges)
- Any other activities/items not explicitly included in the Trip price description
TRAVELCULTZ facilitates payments via:
- International credit cards (American Express, Visa, MasterCard)
- Wire transfers
- Bank transfers
- UPI
Child policy
Child rates apply when a child shares a room/cabin with two adults:
- Infants (under 2 years): 10% of adult rate
- Children 2–11 years: 85% of adult rate
- Children 12 years & above: adult rate
Air ticket child pricing is applied per airline policy at booking. For bookings with multiple children, contact TRAVELCULTZ for a bespoke quotation.
Service booking procedure
A deposit of 20% of the total payment is required at booking. Final payment is due 45–60 days prior to departure unless otherwise notified. Some fares/services may require full payment at booking time.
Cancellations and modifications
Payments made to TRAVELCULTZ are refundable subject to cancellation fees (and any airline/supplier fees). Cancellation charges are:
- More than 60 days prior: 10% cancellation charge + airfare cancellation fees
- 30–59 days prior: 20% + airfare cancellation fees
- 29–15 days prior: 40% + airfare cancellation fees
- 14–8 days prior: 80% + airfare cancellation fees
- 7 days prior: 100% (all flight tickets within package non-refundable)
- No show: 100% (all flight tickets within package non-refundable)
Domestic flight tickets included in packages are non-refundable.
If your stay is interrupted or any Service is unused for any reason (e.g., delayed arrival, voluntary skipping), no refund will be issued.
Post-purchase modifications
Changes after purchase are restricted and subject to availability. Generally, changes are processed as cancellation and re-booking, incurring cancellation charges plus supplier costs. TRAVELCULTZ will advise prior to modification.
TRAVELCULTZ reserves the right to amend itineraries if air schedules, ground transport, or unforeseen circumstances require it; price adjustments may apply.
Issuance of travel documents
Upon receipt of your deposit, a Confirmation Voucher will be sent within 48 hours. This voucher is the formal agreement between you and TRAVELCULTZ. Acceptance of the voucher indicates agreement to these Terms & Conditions.
Final travel documents, including domestic airfare details, will be forwarded upon receipt of full payment and within 15–30 days prior to arrival.
TRAVELCULTZ is not liable if a trip is affected due to non-receipt of documents when the cause is inaccurate information supplied by you.
Insurance
TRAVELCULTZ strongly recommends comprehensive travel insurance covering cancellation, lost baggage, and medical emergencies. It is your responsibility to understand insurance limitations and obtain additional coverage if needed. TRAVELCULTZ is not responsible for uninsured losses.
Passports, visas, health requirements & travel risks
Ensure you possess all required visas, passports, and travel documents. Passports must be valid for at least six (6) months beyond your itinerary end date.
Your travel advisor can assist with travel document applications on request, but TRAVELCULTZ accepts no responsibility for clients' failure to obtain appropriate documents.
Be aware of local vaccination and health requirements; you are responsible for verifying safety, security, and health advisories relevant to destinations and transits.
Certain packages include activities requiring special precautions (boat boarding, climbing hills, entering tombs/caves). Activities are at your own risk. TRAVELCULTZ, its employees, and agents are not liable for events after they have discharged their duties and taken necessary measures.
Local customs and laws
Familiarize yourself with local customs, rules, and regulations. TRAVELCULTZ disclaims responsibility for non-compliance with customs regulations on your part.
All travelers must observe local laws. TRAVELCULTZ is not liable for damages, costs, or expenses caused by your failure to comply, including arrest or detention. TRAVELCULTZ may terminate participation in a Trip if you are disciplined by authorities; you will be responsible for substitute travel and accommodations.
Specific regulations regarding air transport
TRAVELCULTZ is not responsible for alterations, cancellations, or delays of international flights. Notify TRAVELCULTZ promptly of flight schedule changes to adjust transfers if required.
For domestic/regional flights arranged by TRAVELCULTZ, responsibilities are limited by the airline's conditions of carriage. The operating airline may differ from the one in brochures/ads and aircraft types are not guaranteed. Airlines may modify flight times/schedules at any time.
Specific regulations regarding accommodations
Accommodation prices are based on double occupancy unless stated otherwise. Single supplements may apply. Accommodation is subject to availability and alternatives will be offered if rooms are unavailable.
Standard hotel check-in is 14:00 and check-out is 12:00. Some hotels may require a refundable security deposit at check-out.
Limitation of liability
Except as otherwise stated, the Traveler releases TRAVELCULTZ from liability, loss, expense, damages, or claims arising from participation in a Trip, regardless of cause (including negligence).
TRAVELCULTZ is not responsible for wrongful/negligent acts or equipment failures by suppliers (carriers, hotels, etc.) not directly owned or controlled by TRAVELCULTZ. TRAVELCULTZ is not responsible for theft or loss due to customer negligence.
TRAVELCULTZ reserves the right to substitute hotels/flights/cruise ships, alter itineraries, or cancel tours prior to departure. If TRAVELCULTZ cancels a tour prior to commencement, TRAVELCULTZ will refund all monies received.
Force majeure
TRAVELCULTZ is not responsible for failure to perform obligations due to events beyond its reasonable control, including severe weather, natural disasters, war, government orders, strikes, epidemics/pandemics, WHO advisories, power interruptions, terrorism, and other similar causes.
TRAVELCULTZ may cancel Services described in an itinerary due to Force Majeure. In rare cases, Force Majeure may require changes or termination of a Trip after departure; refunds or compensation are subject to supplier refunds. Travel insurance is strongly advised.
Disputes — Governing law & jurisdiction
These Terms & Conditions and the relationship between the Traveler and TRAVELCULTZ are governed by the laws of India, where TRAVELCULTZ's head office is located.
Complaints and claims
If you are dissatisfied with services, inform your local tour guide or travel advisor promptly to allow swift resolution. For formal complaints/claims for compensation, notify TRAVELCULTZ in writing (email, regular mail, or facsimile) within 15 days of tour conclusion and include receipts and evidence. Claims submitted after 15 days will not be accepted.
Marketing materials
Photographs and illustrations are for illustrative purposes only and may not precisely reflect locations. TRAVELCULTZ may use traveler statements/images for marketing without compensation; travelers grant TRAVELCULTZ a non-revocable license to use such materials.
Modification of our terms and conditions
TRAVELCULTZ may amend these Terms and Conditions at any time without prior notice. Changes will not apply to trips booked before the amendment. Consult and accept the Terms & Conditions at the time of booking to confirm which provisions are in effect.
